Would you like to begin or develop a career in university administration while helping students get the most from their studies?

We are looking for a Student Engagement Administrator to join our central Student Engagement Team at Birkbeck. You will provide friendly, reliable, and well-organised administrative support for work that helps students stay connected with their studies and access support when they need it.

Managing queries will be an important part of your day-to-day role. You will monitor the team’s shared inbox and other communication channels, respond to routine enquiries from students and colleagues, and make sure more complex questions are passed to the right person or service. You will need to communicate clearly and sensitively, keep accurate records, and feel comfortable asking for guidance when you are unsure.

You will also help us manage busy diaries and coordinate meetings involving colleagues from across Birkbeck. This will include arranging suitable dates, sending invitations, circulating papers, recording actions, and following up with colleagues. Good organisation and attention to detail will be particularly important, as you will often be supporting several pieces of work at the same time.

Other responsibilities will include:

  • supporting student communications by email, text, and telephone;
  • maintaining student records and team trackers;
  • helping to gather attendance and engagement information;
  • supporting the administration of Personal Tutor allocations;
  • providing administrative support for School Engagement and Retention Groups; and
  • helping the team develop clear and consistent processes.

You will regularly use spreadsheets and other digital systems to check and organise information. Confidence using Microsoft Excel or similar software would therefore be helpful. You do not need advanced Excel skills, but you should be comfortable working carefully with information, identifying anything that is missing or inconsistent, and producing straightforward summaries.

This role could suit someone applying for a first administrative position, as well as someone who already has relevant experience and wishes to grow their skills and knowledge. You may have developed your skills through employment, study, volunteering, an apprenticeship, or a placement. Previous experience in higher education is not essential. What matters most is that you can organise your work, communicate helpfully, learn new systems, and provide a reliable service.

You will join a supportive team at an exciting stage in its development. We will help you build your knowledge of student engagement, query management, meeting administration, university systems, and working with colleagues across different teams. There will also be opportunities to contribute ideas as we develop and improve our services.

Contract:

This role is offered on a fixed-term basis for six months.

This is a full-time role, working 35 hours per week with hybrid working available for up to three days per week.

Salary and benefits:

Grade 4 of the College's London Pay Scale which is £31,234 rising to £34,827 per annum.
